The best social media management software for an agency depends on what is consuming the margin. Scheduling, approvals, client reporting, community management, and content production are different jobs. A platform can be excellent at one and expensive for another.

I build Apaya, one of the products in this comparison, so the conflict is clear. The comparison below uses a published rubric, states where Apaya is not the right fit, and separates documented product capabilities from hands-on testing we did not perform.

How the public-product testing was done.

We reviewed public pricing pages, feature pages, and vendor help documentation. We checked:

  • Billing unit and what the entry plan includes
  • Client workspaces, brands, profiles, and users
  • Content creation and AI capability
  • Approval workflow
  • Reporting and white-label options
  • Inbox, community, and listening capability
  • Directly supported channels
  • Material add-ons or plan gates

We did not create accounts or run live publishing tests. That means this article does not score reliability, support response, implementation effort, or day-to-day usability. Claims such as “dependable publishing” require account-level evidence and are intentionally absent.

This distinction matters because many software roundups blur website review into “testing.” Here, testing means checking the current public product against the agency use case, not pretending buttons were clicked when they were not.

A better way to compare AI content features.

“Has AI” is no longer a useful checkbox. Every platform here offers some form of AI creation assistance. The relevant question is how far the system carries the work before an agency has to switch tools or build the asset manually.

Use five levels:

  1. Manual production: the platform stores and publishes content created elsewhere.
  2. Copy assistance: it generates or rewrites captions, ideas, hashtags, or replies.
  3. Brand-aware generation: it uses brand documents, prior content, or saved context, or turns long-form material into social drafts.
  4. Native creative generation: it also creates images or video inside the workflow.
  5. Repeatable production system: it creates multi-post campaigns or provides managed fulfillment, with review and delivery attached.

Higher is not automatically better. An agency with an expert creative department may want strong approvals and no automated design. The scale simply prevents a caption rewrite button from being compared with a finished campaign batch as if they are the same feature.

1. Apaya: best for repeatable branded campaign production.

Public pricing: Spark is $69 monthly or $55 per month on annual billing. Blaze is $129 or $103 annual-equivalent, with additional brands at $59. Supernova is $229 or $183 annual-equivalent, with additional brands at $89. Agencies with 10 or more brands use custom pricing.

Best for: Agencies whose production hours, design consistency, and recurring campaign throughput are the constraint.

Strengths:

  • Website and brand context carried into production
  • Caption and branded visual production in campaign batches
  • Exact brand templates for logos, fonts, colors, and layout
  • Client approval connected to scheduling and publishing
  • Per-brand model with agency pricing for larger rosters
  • White-label platform on Supernova

Limitations:

  • Direct publishing currently covers Facebook, Instagram, LinkedIn, and X, fewer networks than broad suites in this list.
  • It does not provide a community-management inbox.
  • Agencies seeking deep social listening, customer-care routing, or enterprise research should use a broader suite or companion tool.

2. Cloud Campaign: best agency-native suite with optional fulfillment.

Cloud Campaign is structured around agency workspaces, unlimited users on its Team and Agency plans, client approvals, reporting, conversations, and white-labeling. CaptionAI and ImageAI assist production, and Canva is part of the creative workflow.

CloudStudio is the important difference. It is an optional $99-per-workspace monthly service that adds AI-assisted, human-reviewed content production. That makes any claim that Apaya is the only production-oriented option false.

Public pricing: Freelancer is $49 monthly or $41 annual-equivalent. Team starts at $199 or $165 annual-equivalent. Agency starts at $299 or $249 annual-equivalent. Included and additional workspaces vary by plan.

Best for: Agencies that want an agency-native management suite and may outsource parts of content production.

Watch for: Separate the core software cost from CloudStudio and any additional-workspace costs when modeling a full roster.

3. Sendible: best for flexible workspaces and unlimited users.

Sendible organizes clients into workspaces and bundles profiles by plan. Current plans advertise unlimited users, so describing Sendible as a per-seat tool is outdated.

AI Assist provides ideas, captions, rewrites, and rephrasing. Approvals are available from Plus, custom-branded reports from Premium, and fuller white-label options are associated with higher tiers or add-ons.

Public pricing: Core is $35 monthly or $31 annual-equivalent for 1 workspace and 6 profiles. Plus is $99 or $86 for 3 workspaces and 18 profiles. Premium is $199 or $170 for 7 and 42. Elite is $299 or $255 for 15 and 90. Enterprise is listed at $750 or $638 for 50 workspaces and 300 profiles.

Best for: Agencies that need broad network support, client separation, reporting, inbox features, and many internal collaborators without seat multiplication.

Watch for: Content production is mainly copy assistance. Branded design and campaign assembly still need an agency workflow.

4. SocialPilot: best lower-cost broad-channel option.

SocialPilot combines publishing, manager and client approvals, inbox capability, reports, and broad network coverage. Its plans bundle accounts and users rather than charging every feature as a pure per-seat product.

Its AI can work with brand voice, create caption and hashtag variations, produce multilingual content, and repurpose longer material into a social sequence.

Public pricing: Essentials is $30 monthly or $25.50 annual-equivalent for 7 accounts and 1 user. Standard is $50 or $42.50 for 15 accounts and 3 users. Premium is $100 or $85 for 25 accounts and 6 users. Ultimate is $200 or $170 for 50 accounts and unlimited users.

Best for: Cost-conscious agencies that need many publishing destinations and conventional client operations.

Watch for: White-label reporting begins on higher plans, and the more extensive white-label offer is tied to Ultimate.

5. Planable: best for collaboration and approval.

Planable is centered on content planning, in-context previews, comments, and approval. Unlimited users on workspace plans make it attractive when many client stakeholders need access.

Its AI is not merely manual scheduling. It supports captions, ideas, hashtags, rewrites, media-based creation, replies, and contextual assistance. Analytics and inbox functionality are optional workspace products, so compare the assembled price, not only the base planning plan.

Public pricing: Basic is $39 per workspace monthly or $390 yearly and includes 4 social pages and 60 posts. Pro is $59 monthly or $590 yearly and includes 10 pages and 150 posts. Enterprise is custom.

Best for: Teams where client review, discussion, and structured approval are more important than deep listening or automated visual production.

Watch for: The base plan limits pages and posts. Required and multi-level approval features vary by tier.

6. Vista Social: best for native generative-media breadth.

Vista Social combines publishing, approval, reporting, inbox, listening, and reviews with one of the broader native AI feature sets in this comparison. Its composer can generate captions, images, and video, and brand knowledge can inform the output.

That does not replace precise template-driven design. Generative media and locked layouts with exact logos, fonts, colors, and composition solve different problems.

Public pricing: Professional is listed at $79 monthly and includes 15 profiles and 2 users. Higher tiers expand profiles, users, and white-label options. The public pricing page exposed conflicting figures for the Scale tier during review, so that tier is not quoted here.

Best for: Agencies that want wide channel coverage, engagement tools, and native generative media in one interface.

Watch for: Confirm the current Scale price, included users, and exact white-label features directly in the checkout flow.

7. Hootsuite: best established multi-team suite.

Hootsuite covers publishing, inbox, monitoring, approvals, analytics, and reporting across a broad set of networks. Current plans also document AI caption and image generation, so calling its production entirely manual would be wrong.

Public pricing: Standard starts at $99 per user per month on annual billing and includes up to 10 social accounts. Professional is $199 per user, and Advanced is $399 per user. Enterprise is custom. Account allowances and approval features vary by tier. If you’re pricing an exit instead of an entry, the Hootsuite alternative breakdown runs the switching math.

Best for: Organizations that want an established platform, broad social operations, procurement familiarity, and reporting depth.

Watch for: Per-user pricing can grow quickly with the delivery team. Model every seat and required tier.

8. Sprout Social: best for engagement, care, and analytics.

Sprout Social is strongest when the agency or client needs inbox, customer-care workflows, analytics, listening, and detailed reporting alongside publishing. AI can generate posts from a topic, a prior post, a top-performing post, or an article URL, and brand-voice features add context.

Public pricing: Essentials is advertised from $79 per seat per month on annual billing with 5 profiles. Standard is $199 per seat, Professional $299, and Advanced $399. Listening and premium analytics may add cost.

Best for: Larger retainers, care-heavy accounts, and teams that can justify per-seat pricing with deeper engagement and measurement needs.

Watch for: It is difficult to justify as a scheduler alone. Define which advanced operations will be used before purchasing seats.

9. Agorapulse: best for unified inbox and agency reporting.

Agorapulse combines publishing, approvals, a unified social inbox, reporting, and agency-oriented features. Its AI Writing Assistant and organization context mean content creation is not entirely manual. White-label reporting is also available earlier than older comparisons often suggest.

Public pricing: Standard is $99 monthly or $79 annual-equivalent per user. Professional is $149 or $119, and Advanced is $199 or $149. These plans include 10 shared profiles; additional profiles have a separate price.

Best for: Agencies that place inbox work, approval, reporting, and clear per-user operations ahead of batch creative production.

Watch for: Add every required user and extra profile to the model. Do not compare the entry card with a workspace-priced competitor without normalizing the roster.

10. Metricool: best multi-brand analytics value.

Metricool pairs planning and publishing with analytics, competitor context, reports, inbox capability, and a wide network list. Its AI helps write and rewrite copy. We did not find documentation for native exact branded-visual generation, so design production remains a separate step.

Public pricing: Starter is $25 monthly or $20 annual-equivalent for 5 brands, and $45 or $36 for 10. Advanced begins at $67 or $53 for 15 brands and includes unlimited users, with larger brand tiers available.

Best for: Agencies that want multi-brand scheduling and reporting at a comparatively low starting price.

Watch for: Some networks or advanced reporting capabilities may be plan-specific or add-ons. Confirm the channel mix.

11. HeyOrca: best no-login client approval experience.

HeyOrca is built around separate client calendars, unlimited users, unlimited posts and approvals, and client review without requiring every approver to manage a full account. Its Oscar AI uses brand documents and calendar context for ideas, captions, media-to-caption work, monthly content help, and brand scoring.

Public pricing: Basic is $59 per workspace per month and Pro is $149. Each workspace includes 10 social profiles, and annual billing advertises a discount.

Best for: Agencies that want a client-friendly calendar, approvals, and agency collaboration with predictable workspace boundaries.

Watch for: HeyOrca removed direct X support in April 2026. Confirm every required channel before migrating.

What the pricing model costs across a roster.

Starting price is often the least useful number on a pricing page. Calculate the complete system:

Annual software cost + required add-ons + migration and training cost + annual content-production labor + reporting and community labor

For labor, use your own numbers:

Monthly production hours per client × loaded hourly cost × number of clients × 12

Example only: five clients at eight production hours per month and a $45 loaded hourly cost equals $21,600 in annual production labor. That is a scenario, not an agency benchmark. Replace every input with tracked data from your team; the agency margin math walks the same calculation client by client.

Then normalize each vendor by the unit it charges:

  • Per seat: count every employee and contractor who needs access.
  • Per workspace or client: count active client environments and expected growth.
  • Per brand: define whether multiple locations or divisions count separately.
  • Per profile or account: count every channel connection.
  • Add-on: include reporting, inbox, listening, analytics, white-label, and production modules you will use.

The cheapest entry card can become the expensive choice when the billing unit does not match the agency’s operating model.

Shortlist two or three products, then run the same real client workflow through each trial:

  1. Set up one brand and its permissions.
  2. Create a five-post campaign from the same brief and source pack.
  3. Produce the required branded visuals.
  4. Route the same stakeholders through approval.
  5. Schedule to the required channels.
  6. Build the same client report.
  7. Process one customer message if community work is in scope.
  8. Record time, handoffs, missing features, and complete cost.

That trial measures the work the agency buys software to change.

The practical conclusion.

Most social media platforms now create some content. The dividing line is no longer AI versus no AI. It is how much of the repeatable client workflow the system completes, what the agency still supplies, and how the billing unit behaves as the roster grows.
